These terms cover your use of permit.systems. Using the service means you accept them.
The short version. The service records what your people sign. It does not inspect anything, does not certify anything, and is not a substitute for your own QA system or a qualified inspector. Your drawings and records remain yours.

It reads hold-point tables off fabrication drawings, stamps a sign-off table and a code onto each assembly, and records sign-offs made by scanning that code. It produces QA packs and reports from those records.
It does not inspect work, verify a weld, confirm a dimension, or form an engineering judgement. A hold point is released because a person said so, and the record says who and when. Reading a drawing is automated and can be wrong — the hold points it finds are a starting point for a supervisor to confirm, not a specification. You are responsible for the accuracy of what is recorded and for your own quality system.
Keep your sign-in secure. You are responsible for what people on your account do. Anyone you invite can see and sign off your jobs, so invite deliberately.
A code printed on a drawing lets whoever holds that drawing sign the hold points on it, without an account. That is deliberate: it is how a tradesman signs at the machine. It also means a printed drawing is a credential — control your drawings as you would any other controlled document.
Where a drawing is superseded, the service refuses sign-offs against the old revision once it knows about the new one. It cannot recall paper already in a bay.
Your drawings, documents and records stay yours. You grant us only the permission needed to run the service — to store them, process them, and show them to people on your account.
You confirm you have the right to upload what you upload, including drawings belonging to a client.
We aim to keep the service running and we do not promise it always will be. It may be interrupted for maintenance, or by a provider we depend on. Keep your own copies of anything you cannot afford to lose — connecting a Google Drive is one way to do that, and the original drawings are always yours.
Where a paid plan applies, the price and billing period are what you were shown when you subscribed. We will tell you before any price change takes effect.
Prices are exclusive of GST. Australian GST is added at checkout, so a plan shown at A$99 a month is billed A$108.90. Your tax invoice comes from Stripe and shows the GST separately. Add your ABN at checkout and it appears on the invoice.
A subscription renews automatically each period until it is cancelled.
A plan includes a monthly allowance of DS tokens, which pays for downloading stamped drawing packs and completion reports. The allowance is use-it-or-lose-it — it is replaced at the start of each calendar month and unused tokens from the month before do not carry over. Tokens bought separately as a top-up are different: they roll over and do not expire.
You can cancel a subscription yourself at any time, from Settings → Plan → Cancel or change plan, which opens Stripe's billing screen. No phone call, no email, no notice period.
A cancellation takes effect at the end of the period you have already paid for. You keep the service and the rest of that month's allowance until then, and you are not billed again. We do not pro-rata a part-used month.
Cancelling a plan does not delete your account or your drawings. Tokens you have bought stay on the account.
Nothing here limits your rights under the Australian Consumer Law. If the service is faulty, not as described, or does not do what we said it would, you are entitled to a remedy and these terms do not change that.
Beyond that, our position on money back:
A refund of a subscription payment does not, by itself, cancel the subscription. If you want both, cancel as above as well.
You can stop using the service and ask us to delete your account at any time. We may suspend an account that breaches these terms or puts the service or other customers at risk. Ask us for your data on the way out and we will provide it.
The service is provided as-is. To the extent the law allows, we are not liable for indirect or consequential loss, lost profits, or loss arising from work performed, accepted or rejected on the basis of records kept here. Our total liability is limited to what you paid us in the 12 months before the claim.
Nothing here excludes liability that cannot lawfully be excluded, including rights you have under the Australian Consumer Law.
These terms are governed by the laws of the Northern Territory, Australia, and its courts have jurisdiction.
We may update these terms. Material changes will be posted here with a new date, and continuing to use the service means accepting them.
